I'm an individual in India developing a software MVP. I haven't incorporated a company. Can I subscribe to Microsoft 365 Business Basic as a sole proprietor using my individual PAN? What should I enter as the company name?

    Dear @Rahul Sharma ,

Good day! Welcome to Microsoft Q&A forum!

First of all, I would like to clarify that this is a community forum where users help one another.

Based on your description, you are looking to find out whether you can use a personal PAN when purchasing a Microsoft 365 Business Basic plan, and how you should enter the company name.

According to what I have investigated about PAN in India:

    • A sole proprietorship is not a legal entity separate from its owner.
    • Consequently, many sole proprietors use their personal PAN (type P) for both business operations and income tax purposes.
    • Only when a company (such as a Private Limited or Public Limited company) is incorporated does the business obtain a separate Company PAN (type C).

In principle, you can still sign up for Microsoft 365 Business Basic as a sole proprietor, even if you have not yet incorporated as a company (such as a joint-stock company or an LLC). During the registration process, Microsoft requires information about the business and the registrant (typically the business owner), who will then become the administrator of the Microsoft 365 tenant.

If you operate under your personal name and do not yet have a registered business name, the safest option is: [Your full name as per PAN]

If you would like to look into this matter further, I suggest contacting Microsoft directly: Technical or Sales support phone numbers (for Work account, scroll down to find your region's number)

Kindly let me know when there are updates or if you need further assistance. Any updates you’re able to share would be really helpful.

I'm here and happy to help! Thank you for your kindness and patience!

If PAN-to-invoice name matching matters, confirm the required Company name with Microsoft billing support before purchasing; Microsoft’s documentation does not explicitly define the naming rule or guarantee acceptance of an individual PAN for an unincorporated Indian sole proprietor.

Microsoft’s signup guidance indicates that a sole proprietor can likely subscribe: Microsoft 365 Business Basic is intended for commercial use, and the person signing up—usually the business owner—becomes the organization’s technical administrator. However, it does not expressly address unincorporated Indian sole proprietors. ^1^

    What to enter during signup

    1. Company name:
      • If you do not have a registered or consistently used trade name, the safest practical choice is your full legal name exactly as shown on your PAN.
      • If you operate under an established trade name, do not assume it can replace the PAN legal name for tax invoicing; ask Microsoft billing support first.
      • This is a practical precaution, not a documented Microsoft naming requirement.
    2. Business size: Select the smallest applicable option.
    3. Location and billing address: Enter India and your genuine business/service-use address.
    4. Email: You can initially provide an email address you already use. During setup, Microsoft creates a work account using an <organization>.onmicrosoft.com domain; a custom domain can be added later.
    5. Company-name choice: Choose carefully. Microsoft displays it in the admin center and can include it in internal SharePoint site URLs. Microsoft’s signup documentation directs customers to support when they need to change the business name later. ^1^

    PAN and billing-account considerations

Microsoft 365 documents PAN entry for a Microsoft Online Services Agreement (MOSA) billing account:

    1. Microsoft 365 admin center → Billing → Your products.
    2. Select the subscription.
    3. Under Service usage address, select Edit service usage address.
    4. Enter the PAN in VAT, GST, or PAN number and save.

For a Microsoft Customer Agreement (MCA) account, go to Billing → Billing accounts → select the account → Add tax ID. The available tax-ID types depend on the sold-to country, and self-service tax-ID management is not available in every configuration. ^2^

These instructions confirm that Microsoft 365 has a PAN field for MOSA accounts, but they do not state whether that PAN may be an individual PAN in this exact sole-proprietor purchase scenario. They also describe updating tax details after the subscription exists. If the PAN or invoice name must be correct on the first invoice, obtain confirmation from billing support before placing the order.

    Practical conclusion

    • You appear able to sign up as the business owner, even without employees or an incorporated company.
    • Use your PAN legal name as the Company name when you have no separate established trade name, subject to confirmation from Microsoft billing support.
    • Do not rely on individual-PAN acceptance until support confirms it for the billing-account type offered during your Indian checkout.
    • If you need GST input documentation, also ask whether a GSTIN is required for the invoice treatment you need; Microsoft’s tax page says applicable local tax is charged for India. ^2^
