Microsoft Word Web Download Issues

I am using Microsoft Word on the web.

I am not able to reliably download my word files as copies.

I don't have ad block on and I have tried multiple browsers.

I am also frustrated that there is no option to download outside in the Onedrive drive web browser.

Another related issue is that when I try to print a PDF, it gives me different dimensions on different PCs and also doesn't match the spacing and breaks shown in the web document.

I am not able to reliably download my word files as copies.

Do you see any error messages when you choose to download a copy of a document from Word on the web? What do the messages say?

When you download a copy, the copy will end up in your browser's folder for downloaded files. If you want to edit the document, you need to open it in a program that can read the .docx format.

Another related issue is that when I try to print a PDF, it gives me different dimensions on different PCs and also doesn't match the spacing and breaks shown in the web document.

The view in Word on the web doesn't represent the content and layout in accurate way, unfortunately. This is a limitation with the web version of Word.

Could you perhaps elaborate a bit on the changes you observe, and provide some examples?

For downloading a copy from Word for the web, use File > Create a Copy > Download a copy. The downloaded file is normally saved to the Downloads folder.

If the document is already in OneDrive, a shortcut is to download it directly from OneDrive:

    • Select or hover over the file
    • Open ... / Show more actions if shown
    • Select Download

If the Download button is missing in OneDrive after refreshing the page while viewing a folder, go up one folder level and return, or close that browser tab and open the folder again.

Important limits and behaviors in OneDrive/SharePoint:

    • Files cannot be downloaded directly from the Shared view; the file must be opened and a copy saved to a chosen location.
    • Multiple download limits apply in some environments.
    • In OneDrive for work or school, Internet Explorer cannot download folders or multiple files.

If the issue happened specifically between December 11, 2023 and December 14, 2023 across all browsers, Microsoft documented a download problem caused by a Microsoft Purview DLP feature implementation. That issue affected web app downloads in all browsers, including Microsoft Edge, and did not affect home users.

For the PDF/print formatting issue, the supported guidance available here is to try Print to PDF instead of saving/exporting directly to PDF:

    1. Go to File > Print.
    2. In the PDF options, select Save as PDF.

Also standardize fonts in the document. The documented recommendation is to use common fonts such as Times New Roman, Arial, or Calibri.
