Windows 11/Outlook 365 Desktop/HP Laptop/Main and Archive PST's - Yesterday, I did a monthly task (moved Inbox emails to local folders/subfolders). Some of the folders already existed, other I created. Today, all of the emails that I moved are GONE. Emails to existing folders are gone, emails to new folder/subfolder are gone. These are emails received in the last two weeks to a month. I looked in the Archive folder, nothing anywhere but in the Deleted folder in the Archive. My Archive is set (14 days) to check and move only emails older than 6 months (the default). I've done this for many years, literally. Where did the emails go? Can I get them back!!!! Thanks, [moderator's note: PII removed]

Most likely locations to check first are Deleted Items, the local Archive store’s Deleted folder, and Recover items deleted from this folder if the messages were deleted rather than just moved.

    Use this order:

    1. Check whether the messages still exist on the server
      • Sign in to Outlook on the web and check whether the same messages are missing there too.
      • If they are still present on the web, the issue is likely in the desktop Outlook profile or local PST view.
    2. Check Deleted Items and Archive-related deleted folders
      • Since items were found in the Archive’s Deleted folder, review that folder carefully and restore any matching messages.
      • Also check the main mailbox Deleted Items, Archive, and Junk Email folders.
    3. Use Recover Deleted Items
      • Open Deleted Items and select Recover items deleted from this folder.
      • Restore any matching messages if they appear there.
    4. If the messages were imported or moved into an IMAP-backed view and seem missing, reset the folder view
      • In Outlook, go to View > Change View.
      • Select IMAP Messages.
      • This is specifically documented for messages that are present but hidden from view after PST import scenarios.
    5. Verify the PST files are still attached in Outlook
      • In classic Outlook, go to File > Account Settings > Account Settings > Data Files.
      • Confirm the main and archive PST files are listed.
      • If an archive PST is missing from the profile, add it back so its folders become visible again.
    6. Check whether the folder is only hidden or misplaced
      • If a default folder appears missing or renamed, Outlook can rebuild default folders with:
      • Outlook.exe /resetfolders
      • This can restore missing default folder paths.

    Important:

    • AutoArchive moves older mail to a .pst file and removes it from the server.
    • With the default 6-month setting, mail from the last 2 weeks to 1 month should not have been moved by AutoArchive based on age alone.
    • If the messages are gone from both Outlook desktop and Outlook on the web, and not recoverable from Deleted Items, server-side recovery may require Microsoft 365 admin or Microsoft Support review.

    Hi Robin Martin,

Since the affected messages were manually moved into local folders and were only a few weeks old, the six-month AutoArchive setting is unlikely to explain their disappearance.

Before making further changes, please close Outlook and make a backup copy of the affected PST file. You can identify its location under File > Account Settings > Account Settings > Data Files.

    Then, please clarify two points:

    • Are the missing folders located in the main PST or the Archive PST?
    • Is that PST stored in the local Documents\Outlook Files folder, or in a OneDrive-synced or external-drive location?

After backing it up, run Microsoft’s Inbox Repair Tool (SCANPST.EXE) against the affected PST. If Outlook recovers any data, check the folder list for Recovered Personal Folders or Lost and Found.

You can also search for one known missing message using All Outlook Items. If the search finds it, open the message and check its current folder location.

For now, avoid moving additional messages into the affected PST until its condition has been checked. Thank you so much for your understanding.
