Word documents reformatted in SharePoint

Recently had a user come to us complaining that their word documents had been reformatted and now are unusuable, e.g. tables split over two pages that previously only covered one, or other areas being pushed down and adding additional pages without any action from the user. Currently, users open word documents in the web version of Word and they do not have the newest application version installed on their machines. They also work off of a pool of general VMs that constantly refresh when individuals log in or out of a machine. Thanks for any and all advice.

    Hi Jacob,

Thank you for sharing the details about your environment.

Based on your description, the issue may be related to differences in how Word for the web renders and paginates documents, particularly when the documents contain complex tables, custom fonts, or specific page-break settings. The pooled VM environment may also contribute if fonts, regional settings, or default printer settings are not consistent across sessions.

To help narrow this down, could you please check the following with one affected document?

    1. Download the document and open it in the Word desktop application, then confirm whether the formatting issue is also present there.
    2. Check Print Preview or export the document as a PDF to determine whether the incorrect layout appears in the final output or only while editing in Word for the web.
    3. Review the document’s Version History and compare it with an earlier version that displayed correctly.
    4. Confirm whether the issue affects:
      • All users or only specific users
      • All documents or only certain documents
      • Every pooled VM session or only particular sessions
    5. Check whether the affected VMs have the same fonts, regional settings, default page size, and default printer configuration.

For tables that are splitting across pages, also review the table properties and check whether Allow row to break across pages is enabled. Paragraph settings such as Keep with next, Keep lines together, and Page break before may also affect pagination.

Additional guidance: Use Line and Page Breaks settings in Word

If the document displays correctly in the desktop application or PDF but not in Word for the web, this would indicate a rendering difference rather than permanent document corruption. In that case, using the latest Word desktop application may provide more consistent results for documents with complex layouts.

Please let me know the results of these tests, particularly whether the issue remains after opening the same file in the desktop application and exporting it to PDF.

I hope this information helps move the case forward. Should you have any further questions or need additional assistance, please feel free to share them in the comment below. I'm very happy to help.
