The process of building custom applications and tools that interact with Microsoft SharePoint, including SharePoint Online in Microsoft 365.
Dear @Eline,
I hope you’re having a good day
Thank you for providing the background and scale of your environment.
Based on my understanding of SharePoint Online search, I would like to help set expectations around how content discovery works in Microsoft 365.
SharePoint Online uses a continuous indexing model, where content changes are processed automatically by Microsoft Search in the background rather than through customer-controlled crawl schedules. Microsoft notes that new and updated content is picked up continuously, but indexing time can vary depending on factors such as content volume, item characteristics, and overall service load. There is no fixed crawl interval that administrators can tune in SharePoint Online.
For that reason, I am not aware of any supported configuration that can guarantee a document uploaded to SharePoint Online will become searchable within 5 minutes. Microsoft does not publish a service-level agreement (SLA) for search indexing latency, and indexing should generally be considered an eventually consistent process rather than a near real-time one. The delays you describe, while understandably impactful to business operations, are not necessarily indicative of a platform issue in a large environment with millions of documents.
Given your requirement, I would be cautious about designing a business process that depends on SharePoint Search being updated within a specific number of minutes after upload.
If near-immediate discoverability is a business requirement, organizations often consider approaches that do not rely solely on the search index, such as:
- Providing direct links to newly uploaded content as part of the upload workflow.
- Maintaining a separate metadata repository (for example, a SharePoint list, Dataverse table, or application database) that is updated immediately when a document is created.
- Using event-driven solutions (Power Automate, Microsoft Graph, custom applications, etc.) to surface newly uploaded documents through a dedicated interface before they appear in search.
- Using document metadata, navigation structures, or business application logic to locate recent content rather than depending exclusively on keyword search.
To my knowledge, these architectural approaches are generally more suitable when "find the document immediately after upload" is a strict business requirement, whereas SharePoint Search is best treated as the platform's enterprise search capability rather than a guaranteed near real-time discovery mechanism.
I hope this helps clarify the platform behavior and available options.
Warm regards,
