Disable Add online meeting to all meetings for the affected account in classic Outlook to stop Teams details from being inserted automatically.
Change the setting in classic Outlook
- Open Outlook.
- Select File → Options → Calendar.
- Under Calendar options, clear Add online meeting to all meetings.
- If Meeting Providers is available, open it and confirm that the change applies to the correct work account.
- Select OK, restart Outlook, and create a new test appointment.
This option applies to Microsoft 365 accounts and is enabled by default when the account has a Teams license. It automatically inserts the selected provider’s meeting details into eligible appointments.^1^
If you also use Outlook on the web or new Outlook, verify the account-level setting there:
- Open Settings → Calendar → Events and Invitations.
- Clear Add online meeting to all meetings.
- Select Save.^1^
A user-selected setting in a supported Outlook client overrides the mailbox and organization defaults, so explicitly clearing it is more effective than relying only on an administrator’s default.^1^
If notes continue to be replaced
Microsoft’s documented behavior says online-meeting details are not added to events without attendees. Therefore, if these are truly personal appointments with no invitees and Teams details still appear, the behavior is not explained by the normal “make every meeting online” feature.^1^
Record the following from one reproducible test and give it to your Microsoft 365 administrator or Microsoft Support:
- Outlook version and build from File → Office Account → About Outlook
- Whether the appointment has any attendees
- Whether it is a new, recurring, shared, or delegated-calendar appointment
- Whether the replacement occurs immediately when saving or after synchronization
- Other Outlook add-ins and devices or applications synchronizing the calendar
Calendar-content problems can involve Outlook, Exchange, add-ins, third-party software, and synchronized devices; Microsoft recommends capturing the exact reproduction steps, item type, version, and installed add-ins for investigation.^2^
An Exchange Online administrator can also inspect or disable the mailbox-level default. This requires the appropriate Exchange permissions:
Connect-ExchangeOnline
Set-MailboxCalendarConfiguration `
-Identity [Email] `
-OnlineMeetingsByDefaultEnabled $false
The mailbox setting is an administrative default; a setting explicitly selected in an Outlook client takes precedence.^3^
Recovering notes already overwritten
There is no documented Outlook recovery procedure for restoring an earlier version of only the appointment body after it has been overwritten. Recover Deleted Items can restore a deleted appointment, but it is not documented as version history for changed notes.^4^
Avoid deleting affected appointments solely to try recovery. Preserve any remaining content, and ask your Microsoft 365 administrator to open a support case promptly for already-overwritten items, supplying the appointment subjects, dates, approximate modification times, and Outlook build.
