Text-based conversations between users with searchable history in Microsoft Teams Free
Ask the meeting organizer or recording owner to share the actual recording file directly with your exact email address, then open the new invitation in a private browser window and sign in using that same address.
Teams recordings are files stored in the organizer’s OneDrive or SharePoint. External attendees do not automatically receive access; the organizer must add them to the recording’s shared list explicitly.^1^
What the organizer needs to do
Send these steps to the person who organized or recorded the meeting:
- Open OneDrive for work or school.
- Go to My files → Recordings and select the relevant
.mp4recording. - Select Share.
- Choose the option for sharing with specific people or People you choose.
- Enter the exact email address that the recipient will use to sign in.
- Set permission to Can view, then select Send.
- Send the newly generated file-sharing invitation—not the existing Teams meeting-recap link.
The recipient-specific sharing option grants access only to the identities entered by the owner.^2^
If the organizer cannot select an external recipient or the sharing option is unavailable, their organization may prohibit external sharing. Their Microsoft 365 administrator must change the sharing policy or provide the recording through another organization-approved method.
Open the new invitation with the correct account
Since reinstalling Teams did not help, do not reinstall it again; access is controlled by the recording’s OneDrive/SharePoint permissions rather than the local Teams installation.
- Open an InPrivate/Incognito browser window.
- Open the new file-sharing email from the organizer.
- When prompted, sign in with the exact email address to which the organizer granted access.
- Do not select another Microsoft account already remembered by the browser.
If the recording was shared with a work email, a personal Microsoft account such as Outlook.com cannot substitute for it. A similar recording-access case requires either using the work account from the organizer’s organization or having the recording owner grant permission to the external account.^3^
If that account will not sign in
First identify which kind of account owns the email address:
- Personal Microsoft account: Use Microsoft’s sign-in helper. If the password is forgotten, select Forgot password, receive a security code, verify the account, and create a new password.^4^
- Work or school account: Contact the employer’s or school’s IT administrator or use its work-or-school password-reset process. Microsoft distinguishes this from personal-account recovery.^5^
If the email address is accepted at sign-in but access is still denied after the organizer explicitly shares the file with that same address, the organizer’s Microsoft 365 administrator must review the organization’s external-sharing restrictions.
Also avoid posting the full recap URL publicly. Such links can contain meeting, tenant, and file identifiers; remove it from any public post if possible.
