Why is the Recall Message function not working, even though both the sender and recipient are using Microsoft Outlook?

"Messages to recipients outside your organization or on-premises can't be recalled"

Could you please explain why the recall request failed?

    Okay, I will use the Deferred Delivery feature.

    That said, it would be beneficial if product developers and decision-makers could consider providing a more flexible recall option. Users may not always have the opportunity to thoroughly proofread an email before sending, especially when updating recipient lists at the last minute.

    The Recall Message feature in Outlook only works under specific conditions. The error message "Messages to recipients outside your organization or on-premises can't be recalled" indicates that Outlook does not recognize the recipient as being in the same Microsoft 365/Exchange organization as the sender.

    Even if both users are using Outlook, message recall is only supported when both mailboxes are hosted within the same Microsoft 365 or Exchange organization.     With that being said, here is an alternative approach to mitigate the issue by using the delay delivery feature in Classic Outlook. You can configure a delay (e.g., 1–2 minutes) for all outgoing emails. This gives you a buffer period to cancel the email before it is sent.)

    • Open Mail in Classic Outlook > File > Manage Rules & Alerts > New Rule
    • Under Start from a Blank Rule, choose Apply rule on messages I send, then select Next.
    • Do not select any conditions if you want this to apply to all emails. Select Next, then confirm Yes.
    • Check defer delivery by a number of minutes.
    • In the rule description, select a number of, enter 1, then select OK.
    • Select Next through exceptions (unless you want some emails to send immediately), give the rule a name, keep Turn on this rule checked, then select Finish.
