If the signature option is missing or blank in work mail, use the Outlook on the web signature settings directly:

  1. Open Outlook on the web.
  2. Select Settings.
  3. Go to Account > Signatures.
  4. Select +New signature.
  5. Enter a name for the signature.
  6. Type the signature in the editor box and format it if needed.
  7. Select Save.
  8. Set it as the default for New messages and Replies and forwards if required.

If composing a message and the signature does not insert automatically, add it manually from:

  • Insert > Your signature

For Outlook.com-style settings, the path can also appear as:

  • Settings > Account > Signatures > + Add signature

In Outlook on the web, signatures are created separately from desktop Outlook.

    Hello @Mohammed Rinshad Nalakath,

Good day! I hope you are doing well.

To help provide the most accurate and effective solution, could you please share a bit more information about your environment?

    • What version of Classic Outlook are you using? (File > Office Account > About Outlook)
    • Is this issue occurring in Classic Outlook, New Outlook, or Outlook on the web?
    • Does the issue affect your Microsoft work or school account, personal account, or both?
    • Have you recently changed devices, Outlook profiles, or accounts?
    • Did you try any troubleshooting steps and what are they?

This additional context will help better understand your setup and avoid suggesting steps you may have already completed.

In the meantime, please ensure that Outlook is updated to the latest available version and confirm whether the issue persists afterward. To check for updates:

    • Open Outlook.
    • Select File > Office Account.
    • Under Product Information, select Update Options > Update Now.

    User's image

    • Allow the update process to complete and restart Outlook if prompted.
    • After updating, verify whether the issue still occurs.

If you do not see Update Options, please provide a screenshot of File > Office Account so I can  verify the Outlook version and update channel in use. Additionally, please sign in to Outlook on the web (https://outlook.office.com) using the affected account and check whether you are able to create, edit, or manage email signatures there. You may refer to the AI's suggestion for detailed instructions or use the official instruction from Microsoft: How to add and change an email signature in Outlook | Microsoft Support

If the issue persists, please try creating a new Outlook profile and check whether the issue occurs in the new profile:

    • Close Outlook.
    • Open Control Panel and select User Accounts > Mail (Microsoft Outlook).

    User's image

    • Select Show Profiles.
    • Select Add.
    • Enter a name for the new profile and select OK.
    • Configure the affected email account in the new profile and allow the setup process to complete.
    • Under When starting Microsoft Outlook, use this profile, select Prompt for a profile to be used (or temporarily set the new profile as the default).

    User's image

    • Launch Outlook using the newly created profile.
    • Check whether you can access File > Options > Mail > Signatures and whether the issue still occurs.

I look forward to your response and will be happy to continue working with you to get this resolved.

    Kind regards,
