Using classic Outlook for Windows in business environments
To remove an email domain from Microsoft 365, first make sure all references to that domain are removed.
- In the Microsoft 365 admin center, confirm the domain is not the default domain.
- Move all users off that domain:
- Go to Users > Active users.
- Select the users.
- Select Change domains.
- Choose a different domain.
- If the admin account is also using that domain, change that account too, then sign out and sign back in with the new domain.
- Move groups and distribution lists off that domain:
- Go to Teams & groups > Active teams & groups.
- Open each Microsoft 365 group, Teams-connected group, or distribution list using the domain.
- Under Aliases in Email addresses, edit the Primary email address and select a different domain.
- Make sure no shared mailboxes, resource mailboxes, contacts, aliases, Microsoft 365 groups, distribution lists, or Teams still use the domain.
- Remove the domain:
- Go to Settings > Domains.
- Select the domain.
- Select Remove domain.
Important:
- .onmicrosoft.com domains cannot be removed.
- When a domain is removed, user accounts revert to the default .onmicrosoft.com address as the primary SMTP/UserPrincipalName.
- If the domain is used in many places, removal can take from a few minutes to up to a day.
- If the custom domain points to a non-Microsoft DNS provider, update DNS records to the new provider before removing it.
If the removal process does not work, use Help & Support in the Microsoft 365 admin center and select Contact support for manual removal assistance.
