This is usually an indexing delay: Windows doesn't index new files instantly, and it slows indexing down when the PC is busy or running on battery. To check and fix it:
- Check which folders are indexed. Open Settings → Privacy & security → Searching Windows → Advanced indexing options. Make sure your Downloads or working folder is in the list. If it isn't, click Modify and add it.
- Check the indexer's status. The same window shows how many items are indexed and whether it says "Indexing speed is reduced due to user activity." That message means the delay is by design.

- Turn off the power-saving limit. In Advanced indexing options → Advanced, rebuild the index while plugged in. On battery, Windows pauses indexing to save power.
- Run the troubleshooter. Open Settings → System → Troubleshoot → Other troubleshooters → Search and Indexing.
- Check the Event Viewer. Go to Applications and Services Logs → Microsoft → Windows → Search and look for errors about specific folders or files.
Quick workaround: search from inside the folder you're working in. When Windows hasn't indexed a folder, it scans the files directly, so new files show up right away, just a bit more slowly.
