When Microsoft storage is over quota, Microsoft services (OneDrive, Outlook.com, Teams attachments) stop working until storage is reduced or more is purchased. To move content to Google storage, content must first be downloaded from Microsoft, then uploaded to Google.
Key points from Microsoft storage behavior:
- Exceeding Microsoft cloud storage quota stops new uploads/edits/syncs to OneDrive; existing files remain but are read-only.
- Email in Outlook.com cannot be sent or received while over quota; messages sent to the mailbox are returned to sender.
- After 6 months over quota, OneDrive and all files in it may be deleted and are non‑recoverable.
To safely move content to Google storage:
- Sign in to the Microsoft account
- Use a browser on any device (no Microsoft device required) and sign in with the Microsoft account that owns the storage.
- Reduce the risk of data loss by acting before deletion
- Because OneDrive may be deleted after 6 months of being over quota, download files as soon as possible.
- Download files from Microsoft storage
- OneDrive files and photos: In a browser, open OneDrive for the Microsoft account and download folders/files to local storage (for example, the computer being used now or an external drive). While over quota, files are read‑only but still downloadable.
- Outlook.com email attachments: Either
- Download important attachments from messages one by one, or
- Save attachments to the local device from within Outlook.com.
- Upload content to Google storage
- Sign in to the Google account in a browser.
- Open Google Drive (for files, documents, photos) and upload the downloaded folders/files.
- For photos, Google Photos can also be used if preferred by uploading from the device where the files were downloaded.
- Clean up Microsoft storage (optional but recommended)
- To get back under quota and avoid service disruption until everything is confirmed moved:
- Delete unneeded files and folders from OneDrive (large files first).
- Delete email attachments or entire messages that are no longer needed in Outlook.com.
- This aligns with Microsoft’s guidance that storage can be cleaned up either by deleting OneDrive files or email attachments.
- To get back under quota and avoid service disruption until everything is confirmed moved:
- Alternative to cleanup: buy more Microsoft storage (optional)
- If more time or space is needed during the transition, additional Microsoft storage can be purchased instead of deleting content. This is optional if the goal is to move everything to Google and eventually stop using Microsoft storage.
Because there is no built‑in automatic transfer from Microsoft storage directly to Google storage, the supported process is:
- Download from Microsoft (OneDrive, Outlook.com attachments) to a device or external drive.
- Upload from that device to Google (Google Drive/Photos).
