Set the worksheet’s Print Area to only the cells containing your two pages of data, then verify the result in Print Preview.
Set the intended print area
- Select the complete range of cells that should print.
- Open Page Layout → Print Area → Set Print Area.
- Select File → Print and check the page count.
Excel saves this print area with the workbook and prints only the selected range. Make one continuous selection—multiple nonadjacent print areas can print as separate pages.^1^
On Excel for Mac, select the cells and use File → Print Area → Set Print Area.^2^
If blank pages remain
Stray formatting in apparently empty rows or columns can make Excel treat them as used cells, producing extra printed pages.
- Click anywhere in the worksheet and press Ctrl+End.
- If Excel jumps far below or to the right of your real data:
- Select every unused row below the data.
- Select Home → Clear → Clear All.
- Repeat for every unused column to the right.
- Save and close the workbook.
- Reopen it, press Ctrl+End again, and check File → Print.
The final cell should now be at or near the end of the actual data.^3^
Use Clear All rather than merely pressing Delete, because Delete may leave the formatting that extended the printable range.
Check page breaks and Legal paper settings
If Excel still shows more than two pages:
- Select View → Page Break Preview.
- Select Page Layout → Breaks → Reset All Page Breaks to remove manually inserted breaks.
- Open Page Layout → Page Setup using the small dialog launcher.
- On the Page tab:
- Set Paper size to Legal.
- Choose the required Portrait or Landscape orientation.
- Under Scaling, select Fit to and enter 1 page wide by 2 pages tall.
- Return to File → Print and confirm that the preview shows two pages.
Excel calculates automatic page breaks from paper size, margins, scaling, and manual breaks; automatic breaks cannot simply be deleted.^4^ Page Setup supports Legal paper and fitting a worksheet to a specified number of pages.^5^
If the content becomes too small after fitting it to two pages, keep Width at 1 page but set Height to Automatic, then adjust margins, orientation, or column widths instead.^6^
