Teams incomplete sync with outlook

Teams will not sync all contacts from Outlook. Outlook Web and Outlook Mac show 35 contacts, Teams Web and Teams Mac only sync 26 contacts even after deleting all Teams contacts and performing a complete resynchronization. The attendee picker also fails in both Teams Web and Teams Mac. I deleted the 9 contacts in Outlook that are not syncing, recreated them from scratch and still they will not sync and Attendee Picker will not work.

If you are signed in to Teams with Microsoft 365 Family account, then your Teams account is not Business account but Personal (a.k.a. Teams Free)

In Teams Personal, there is no "Add contact" option in the People app. This option is only available in Teams for Business.

I'm not sure how this works on a Mac, but on my Windows 11 computer, syncing contacts from Outlook.com adds only Outlook contacts which have a valid phone number. This might be the reason why fewer added contacts than in your Outlook Peoples option.

    Hi Robert,

Based on what you shared, since the same nine contacts are missing in both Teams Web and Teams for Mac, this is likely an account- or service-side contact resolution issue.

For the best possible assistance, can you share more details about the situation:

    • Are the nine affected contacts internal users in your Microsoft 365 organization, external contacts, or a mixture of both?
    • If you enter one affected contact’s complete email address in the Teams attendee field, can you add and invite them successfully?
    • Does Teams find the contact if you search by exact email address instead of their display name?
    • Does another user in your organization experience the same behavior with these nine contacts?

As a temporary workaround, you can schedule the meeting in Outlook, where all 35 contacts are available. Meetings created in Outlook with the Teams meeting option will also appear in the Teams calendar.

I greatly appreciate your cooperation and understanding. Hope to hear from you soon.

I do not have an option to enter a new contact on the Teams app. I am using Teams, Microsoft 365 for families, desktop, for Mac. Version 26289.204.5281.6363. Likewise, my online Teams for Mac does not have an "Add Contact" option in the upper left corner of the People app. This is why syncing from Outlook is relevant.

Teams for work or school does not guarantee that every Outlook People contact will populate the Teams attendee picker; add the nine contacts directly in Teams People and enter their full email addresses when scheduling until Microsoft Support investigates the cross-client picker failure.

Add the missing contacts in Teams

    1. In Teams web, select View more apps.
    2. Search for and open People.
    3. Select Add contact.
    4. Enter the contact’s name or email address, complete the details, and select Create.
    5. Check People → All contacts for the new entry.

Teams distinguishes organization directory contacts from local contacts created in Teams. Local Teams contacts are separate from the organization directory, although newly created contacts can also become available through Microsoft 365 in Outlook.^1^

Do not repeat the delete-and-resynchronize procedure: because the same nine contacts and attendee-picker failure occur in both Teams web and Teams for Mac, this is not consistent with a Mac-only Teams cache problem.

    Work around the attendee picker

When creating the meeting, type each missing attendee’s complete email address in Required attendees, rather than relying on name suggestions. Teams explicitly supports inviting someone outside the organization by entering the full email address.^2^

Alternatively, create the meeting in Outlook, where the 35 contacts are available. Meetings scheduled in Outlook appear in the Teams calendar and vice versa.^2^

Check how the nine contacts are stored

    In Outlook on the web:

    1. Open People → Your contacts.
    2. Search for each missing contact individually.
    3. Verify that it is a contact, rather than only an entry in a contact list.
    4. Check whether the missing nine originated from a separate classic Outlook contact folder.

Outlook on the web stores saved contacts under Your contacts. Classic Outlook contact folders are represented as categories after migration, so seeing an entry through a category does not necessarily establish that every Teams contact surface will treat it identically.^3^

    Escalate the picker failure

If manually created Teams contacts still cannot be selected—even by full email address—have the Microsoft 365 administrator open a support request from:

Microsoft 365 admin center → Help & support → Contact support

    Include:

    • The affected account and tenant.
    • Names or redacted email domains of two working and two failing contacts.
    • Confirmation that Outlook web and Mac show 35 contacts while Teams web and Mac show 26.
    • Confirmation that deleting/recreating the nine Outlook contacts and performing a full resynchronization made no difference.
    • Whether full email entry succeeds or fails.
    • Approximate timestamps and time zone for failed attendee searches.

This cross-client reproduction requires account- or service-side examination rather than another local reinstall or cache reset.

Only if the mailbox is on-premises or hybrid

For an Exchange Server or hybrid mailbox, run the Teams Exchange Integration test in Microsoft Remote Connectivity Analyzer. It validates Teams’ ability to interact with Exchange. If it fails, the administrator should examine Autodiscover, the published EWS endpoint, OAuth, and firewall/reverse-proxy access.^4^

Do not apply this hybrid branch to an Exchange Online-only mailbox.
