Adjusting alert preferences for messages, mentions, and activity within Microsoft Teams
Planner does not provide an organizer-controlled switch that suppresses all outgoing notifications, so build the schedule in an organizer-only plan with tasks unassigned, then add the team and assign tasks when you are ready to launch it.^1^^2^
Recommended setup
- Create a separate draft plan, adding only yourself where the plan type permits.
- If the plan already contains the team, avoid assigning tasks to them during preparation.
- If it is connected to an existing Microsoft 365 group or Team, its existing members may already have access.
- Build the buckets, task names, dates, checklists, and other schedule details without assignees.
- Assigning a task can generate email and Teams notifications for the assignee.
- A Teams notification can be generated even when the assignment is made outside Teams.
- Avoid task comments while drafting.
- Comments can produce group email or notify people who have already participated in that comment thread.
- At the kickoff meeting, introduce Planner and explain how the schedule will be used.
- After the introduction, add the required members and assign the prepared tasks. This makes the first assignment notifications part of the planned rollout rather than unexpected setup noise.
Why plan settings do not create a complete quiet mode
Notification controls under Settings → Notifications are primarily recipient preferences. Each member can disable their own task-assignment and due-date notifications, but the organizer cannot centrally set those preferences for everyone.^1^
Notification behavior also depends on the Planner experience and plan type:
- Current Planner: Direct task assignments notify assignees. For premium plans and portfolios, adding someone can also generate email, although that notification is user-configurable and is not sent for associated groups with more than 50 members.
- Legacy Planner, GCC High, GCC, or DoD instructions: Creating a plan or adding someone to one can generate notices that cannot be disabled. Therefore, add members only when ready to launch.
- Group email: In the legacy experience, a group owner can open Plan board → … → Plan settings and clear Send email to the plan’s group when a task is assigned or completed. This only reduces group-mailbox activity; it does not suppress direct assignment email, Planner push, or Teams notifications.
If users later receive too much group email, each user can adjust whether the associated Microsoft 365 group is followed in their inbox. That is a recipient-side preference, not a way to keep the initial build silent.
Administrative options
An administrator can disable the Planner app in Teams, which also disables its Teams notifications. Microsoft states that disabling only Planner’s Teams notifications while leaving the app enabled requires contacting Office support.^1^ Neither option is necessary when the plan is drafted without members or assignments.
