If you're using Outlook, first check your Deleted Items, Archive, and Junk Email folders since older messages may have been moved there.

If you're searching from the Outlook search bar, try searching by the sender's email address or a word from the subject instead of only changing the date range. Also make sure the search scope is set to All Mailboxes or All Outlook Items, depending on your Outlook version.

If you still can't find them, check Outlook on the web and search for the same message there. If the emails are also missing online, they may have been deleted or moved by an account retention/archive policy.

It would help to know whether you're using New Outlook, Classic Outlook, or Outlook.com, and whether other emails from around that time are still available.

    Hello @silvia,

To better understand the issue, could you please confirm the following?

    • Are the missing emails available when you sign in to Outlook on the web?
    • Are you searching the correct email account and folder, such as Inbox, Archive, Deleted Items, or Online Archive?
    • Do you know the approximate date, sender, subject, or keywords from one of the missing emails?
    • Are all emails from that period missing, or only certain messages?
    • What version of Outlook for iOS are you currently using?
    • Does the same issue occur on another device or in another Outlook application?

This information will help determine whether the issue is related to Outlook mobile search, synchronization, or the mailbox itself.

Thank you again for your time and understanding.  I really appreciate your patience, and I’m here to help. Looking forward to your response.

If old emails are missing, check these places and settings first:

    1. Search while online If Outlook is online, search can cover the entire mailbox except Drafts, Deleted, and Spam. If Outlook is offline, search shows only email stored locally on the device.
    2. Check the search scope and filters
      • In new Outlook for Windows, go to Settings > General > Search and review the search scope.
      • When searching for older mail in new Outlook, use filters to narrow results. If too many results are returned, older items might not appear.
      • If using Outlook.com, select Filter above the message list and choose All.
    3. If using classic Outlook, increase cached mail Older mail may not be downloaded locally.
      • Go to File > Account Settings > Account Settings.
      • On the Email tab, select the account and choose Change.
      • Move Download email for the past: to a longer period or All.
      • Select Next > Done, then restart Outlook.
    4. Check Archive Archived messages do not appear in the Inbox. Open the Archive folder and move any needed message back to Inbox.
    5. Check rules A rule may be moving messages out of the Inbox. In Outlook.com, open Rules settings and review any rule that moves or deletes mail.
    6. If mail was imported from a .pst and is hidden In Outlook, select View > Change View > IMAP Messages.
    7. For classic Outlook archive mailbox searches If older mail is in the archive mailbox, search the archive folder itself using Current Folder. Searching All Mailboxes or All Outlook Items can return limited or no archive results.
    8. If using mobile Clear any filter shown above the message list. On mobile, the current filter appears above the list.

If the emails still do not appear after these checks, they may have been moved, archived, or are not available locally on the device.
