Power Query does not automatically refresh its local cache when the source changes. If the source range is driven by formulas, the query can continue showing cached results until it is refreshed.
Use this refresh path:
- In Excel, select a cell in the loaded query table.
- Select Query on the ribbon.
- Select Refresh > Refresh.
That refresh updates both:
- the worksheet query result
- the Power Query cache
If the issue is only inside the Power Query Editor preview, refresh the preview there:
- Open Power Query Editor.
- Select Home.
- Select Refresh Preview > Refresh Preview or Refresh All.
Important detail:
- Refreshing in Power Query Editor updates the local cache, but it does not update the query already loaded to the worksheet or Data Model.
- To update the worksheet result, refresh from the worksheet query as described above.
Also check these common causes of stale or incorrect refresh results:
- If a yellow bar says the preview may be old, the local cache is out of date. Select Refresh.
- If the source file is open and not saved, changes are not included in refresh until the file is saved.
- If the source file is open and locked, Power Query may not be able to access it until it is closed.
- If table names, column names, or data types changed, refresh can fail or return unexpected results.
For formula-driven source data, a practical check is:
- Make sure the formula results in the source sheet have already recalculated.
- Save the source workbook if the query reads from that workbook.
- Then run Data > Refresh All or Query > Refresh.
If the source location may change later, use a Power Query parameter for the file path so refresh errors are easier to avoid.
