Try these in order:
- In Excel, go to File > Print and check:
- the correct printer is selected
- printer status shows Ready
- Print to file or Print to PDF is not selected
- page settings such as page size, orientation, and layout match the sheet
- Print a different Excel file, or create a new blank workbook, type a few words, and print it.
- If the new file prints correctly, the problem is likely in this workbook.
- If both fail, the issue is more likely Excel, Windows printing, or the printer driver.
- Since the preview looks different from the final print, test the printer/driver:
- In Windows 10, go to Start > Settings > Devices > Printers & scanners
- Select the printer > Manage > Printer properties
- On the General tab, select Print Test Page
- If the test page fails, troubleshoot the printer or driver first.
- Restart the print spooler:
- Press Windows key + R
- Type services.msc and press Enter
- Find Print Spooler
- Right-click it and select Restart
- Update or reinstall the printer driver:
- Select Start > Device Manager
- Expand Printers
- Right-click the printer > Update driver
- If no update is found, select Uninstall device
- Restart the PC so Windows can reinstall the driver automatically
- If only this workbook has missing content when printing, print only the needed page range as a workaround:
- Go to File > Print
- Under print range, select only the page or pages needed
- If Excel still will not print correctly, repair Office:
- Go to Start > Settings > Apps > Installed apps
- Select Microsoft 365 or Microsoft Office > Modify
- Run Quick Repair first
- If needed, run Online Repair
Fastest path before leaving:
- Check File > Print settings
- Print a test page from Windows
- Restart Print Spooler
- If needed, update/reinstall the printer driver
