Hi,

Someone knows this isse:

Server 2025 RDS Host and local W11 clients, both with the same behaviour.

One (and the same) printer is shared several times on a printserver, with different default settings (colour, duplex, etc). So the users dont want to change the printing settings in the drivers dialog, they just want the select another printer (with is the same) but with another settings.

In EVERY application (Word, Outlook, Chrome, 3rdParty ERP..) everything works one.

Only in Excel, when you choose another printer, it wont refresh the printer settings. So when the default printer was colour and then you change to the printer with Black/White in the defaults - it keeps the first settings. It won't refresh the settings when its the same printer driver.

Already tried differnt drivers..i have no further idea.

Anyone knows that issue? Or probably a solution?

Thanks!

Greets!

Hi @30629938,

Thank you for your detailed sharing.

Based on your information, this is highly a known Excel-specific behavior, and the technical root cause is a combination of two factors including a Windows API string-length limitation and Excel's printer-information caching behavior:

  • Windows DevMode has a limitation of 32 characters by design and will truncate the name after 31 characters. When Excel queries the printers, it is given the printer's name information from Windows.
  • When Excel queries the system for printer information, it receives the (potentially truncated) printer name from Windows and caches the printer settings for faster performance. If two printer shares produce identical name strings after truncation to 31 characters, Excel treats them as the same device and does not re-query the printer for new default settings and reuses the cached settings from the first printer selected.
  • On RDS hosts, network printer shares frequently have longer names because the connection string may include server names, session identifiers, or organizational prefixes. This may exceed the 31-character limitation and cause the behavior you are experiencing

As a workaround, you can try shortening the name to meet the requirement of at most 32 characters to see if it helps resolve the situation.

Hope this may identify the culprit for your situation. Please try the step and let me know if it works. If not, we can work together to find a solution.

Thank you for your understanding and cooperation. I'm looking forward to your reply.
