In SharePoint Online, the ability to move items (rows) up or down in a list depends on the list settings and the view being used. By default, SharePoint does not provide a direct option to manually reorder items within a list. However, there are a few ways to achieve this functionality:-
- Enable List Item Ordering: To enable manual reordering of items within a list, you can go to the list settings and enable the "Allow individual item checkboxes" option. Here's how:
a. Go to your list in SharePoint Online. b. Click on the gear icon (Settings) in the top-right corner and select "List settings." c. Under the "General Settings," click on "Advanced settings." d. In the "Item-level Permissions" section, select "Create and edit all items." e. Click "OK" to save the changes.
After enabling this option, you should see checkboxes next to each item in the list. You can then select the checkboxes of the items you want to move and use the "Move to" button in the toolbar to move them to a specific position within the list.
- Use "Sort" or "Group by" Columns: Another way to control the order of items in a list is by using "Sort" or "Group by" columns. You can add a column in the list to specify the order you want and then sort or group the list view based on that column.
- Create Custom Order Column: If you need a more flexible way to reorder items, you can create a custom column in the list to represent the desired order (e.g., a numeric column). Then, update the values in this column for each item to control their position in the list. You can sort the list view based on this custom column to display items in the desired order.
- Use Quick Edit (Datasheet View): If your list supports Quick Edit (also known as Datasheet View), you can use this view to reorder items more efficiently. In Quick Edit mode, you can drag and drop items to change their position within the list.
Please note that not all types of lists in SharePoint Online support manual reordering. For example, custom lists with certain column types may not provide this functionality. Additionally, some lists, like document libraries, may have a default ordering based on a specific column, such as "Modified" or "Created" date, which you can adjust by sorting the list view.
Remember that the available options may vary depending on the permissions and settings configured by your SharePoint Online administrator. If you do not have the necessary permissions or if the options are restricted, you might need to reach out to your SharePoint administrator for assistance.
