Shared Microsoft Bookings ignores staff custom working hours and Exchange Online free/busy events on individual dates. The correct service and staff are assigned. Maximum attendees is 1. Bookings-native “Time off” blocks the slot correctly. Toggling calendar availability and reassigning the staff member corrects one day, while availability remains incorrect on the following day.

    Hello,

    Thank you for testing this scenario. Below is a concrete example from our tenant.

    Affected staff member: Paula Dehler Affected service: Messetermin Test Affected date: 16.09.2026

    The staff member has custom working hours configured as follows:

    • 09:00–11:00
    • 12:00–17:00

    Therefore, the period from 11:00–12:00 is intentionally unavailable.

    In addition, an event exists in the staff member’s primary Exchange Online calendar from 15:30–17:30, with Show as = Busy. The setting “Events on Microsoft 365 calendar affect availability” is enabled for this staff member.

    The service is configured with general availability set to Not bookable, and a date-range override for the trade fair period set to Bookable when staff are free. The service has a maximum of one attendee.

    Despite this configuration, the public booking page displayed slots within both the custom-hours gap and the Busy Outlook event. Customers were able to select and successfully book those slots.

    Attached are screenshots of:

    1. the staff member’s custom working hours;
    2. the staff member setting showing that calendar events affect availability;
    3. the service availability and assigned-staff configuration;
    4. the Busy event in Outlook;
    5. the public booking page still showing the affected slots.

    Could you please test whether explicitly assigning staff members to a service changes how custom working hours and Exchange free/busy information are evaluated?

    Kind regards,

    As your description is primarily written in English, I will respond in English for your convenience. If you would prefer to receive the information in another language, please feel free to let me know.

    Hi @Paula Dehler

    I tested a similar scenario in my environment and observed that Microsoft Bookings appears to correctly honor both staff custom working hours and Exchange Online free/busy events. For example, I created a Busy event on the staff member's calendar from 9:00 AM to 11:00 AM, and when accessing the booking page, Microsoft Bookings automatically excluded that time range and only displayed the remaining available slots.

    To ensure I fully understand your situation and provide the most effective assistance, could you please help with the following details:

    Could you share a concrete example, including the affected staff member, service, date/time, and screenshots of the configuration and behavior observed? This will help me compare the setup and determine whether the displayed availability is expected.

    May I know whether the busy time is only visible in the Bookings calendar, or whether customers can still select and successfully book that same time slot from the booking page?

    Please feel free to correct me if I have misunderstood any part of the issue. If you have any additional concerns or observations, feel free to comment below. I would be more than happy to assist further.
