Thank you for posting your question in the Microsoft Q&A forum. Could you confirm which SharePoint site type you are using? Is it a Team site connected to a Microsoft 365 Group, or a Communication site? The steps differ slightly depending on the site type:
1/If it’s a Communication site:
- Go to your SharePoint site > click the Gear icon and select Site Permissions.
- Click Share site > type Everyone except external users and select that option.
- Use the dropdown next to the group name to choose the appropriate permission level: select Read if employees only need to view data, which is the minimum required for Power Apps, or choose Edit or Full Control if they need to update data.
- Click Add to apply the changes.
2/If it’s a Team site:
- Click the Gear icon > Site Information.
- Under Privacy settings, change the option from Private to Public.
- When you do this, the Everyone except external users group is automatically added to the Site Members. You can then adjust permissions as needed (Read/Edit/Full controls).
Note: For Team sites connected to a private Microsoft 365 Group, you cannot use the “Everyone except external users” group unless you change the settings at the tenant level. This is because private group-connected sites inherit permissions from the Microsoft 365 Group, and access is restricted by design.
