Project online retiring

Hi,

Microsoft has announced that support for Project Online will end in September 2026 and that it will be replaced by Microsoft Planner.

I’m currently working with a client on how to migrate their projects to Planner, and I’d like to ask if you can share any best practices.

According to Microsoft’s official documentation, the recommended approach is to use Project Power Apps. However, we cannot see this option available in our tenant (we are using the default environment).

The client has around 20 projects and also uses the Project desktop app. I considered exporting the data to .mpp or .xlsx files, but Planner does not support importing these formats, so this approach does not seem viable.

Could you please advise on the best way to proceed in this situation?

Thank you in advance for your help.

Dear Martin Štěpáník,

Thank you for posting your question in the Microsoft Q&A forum.

Based on your concern, I understand that you are having issues while migrating from Project Online and Projects on Desktop app to Planner. As I have consulted with the technical team, you could try the instructions below for your concern.

Pre‑Migration Environment Preparation

Before migrating from Project Online to Planner Premium, the target environment must be properly configured. Planner Premium settings directly affect how task durations, dependencies, and schedules are interpreted after migration. Preparing these settings in advance helps preserve data accuracy and ensures a smooth transition.

Prior to migration:

  • Configure Fixed Duration scheduling in Planner Premium using Power Apps.
  • Review environment‑level scheduling and calculation rules to ensure alignment with Project Online.
  • Validate all configuration changes in a test environment before performing the full migration.

Migrating from Project Online to Planner Premium

Once the environment is ready, migration focuses on structured data preparation and automation. The objective is to move project data accurately while maintaining task relationships.

High‑level steps:

  1. Extract project information from Project Online into an Excel file, making sure all required tasks and related fields are included within the migration scope.
  2. Convert the Excel data into a structured table format, with each task represented by a single row to ensure compatibility with automation.
  3. Save the completed Excel file in SharePoint or OneDrive so it can be securely accessed by Microsoft automation services.
  4. Create a tailored migration process in Power Automate by setting up an Instant cloud flow and choosing an appropriate trigger (manual, scheduled, or automated).
  5. Add the List rows present in a table action to read task data from the Excel file.
  6. Use the List buckets action to retrieve Planner Premium bucket details using the correct Group ID and Plan ID.
  7. Implement an Apply to each loop to process tasks individually and use conditional logic to match Excel records with Planner Premium data.
  8. Configure actions to create new tasks, update existing ones, or adjust task properties in Planner Premium based on the defined mapping rules.
  9. Repeat this mapping and synchronization process for all required fields to ensure a complete and accurate migration.
  10. Test and validate the automation using Flow Check and Test before running the migration at scale.

This approach provides control, transparency, and data integrity, supporting organizations transitioning from Project Online as part of modernization or end‑of‑life planning.
